HubSpot integration
arteemis writes your prospecting in HubSpot as it happens: the contact and their company, every email and LinkedIn message sent and every reply, accepted invitations, and a deal when you move someone in your pipeline. In the other direction, it imports your HubSpot lists and keeps HubSpot customers and the people of open deals out of your campaigns.
What it does
What arteemis writes to HubSpot
- The contact, found by email address (else the record arteemis made before), with the name, job title, phone, LinkedIn profile and company name arteemis holds.
- Their company, found by domain.
- Each email sent and each email reply, logged as an email on the contact, with its text.
- Each LinkedIn message sent and each LinkedIn reply, logged as a LinkedIn communication.
- An accepted LinkedIn invitation, as a note.
- A pipeline move in arteemis, as a deal in the HubSpot stage you map it to.
- Never an email address arteemis knows to be invalid or bounced, and never how an address was verified.
What arteemis reads from HubSpot
- Customers: contacts and companies whose lifecycle stage is Customer.
- Open deals: the contacts and companies of deals in a stage that is not closed.
- Your lists, to import one into arteemis.
- Your deal pipelines and their stages, to map the arteemis stages to them.
HubSpot customers and the people and companies of open deals stay out of your campaigns. They are read once an hour (and at once when you connect), by email address and by company domain, never by the domain of a free mailbox such as gmail.com. A campaign passes over them without sending anything; once they leave HubSpot's customers and open deals (a deal lost), their sequence resumes. Messages you write yourself from the inbox are not affected.
Requirements
- The owner or admin role in your arteemis workspace: only they connect integrations.
- A HubSpot user allowed to install apps in the HubSpot account (a Super Admin, or a user with App Marketplace access).
- The access arteemis asks for: contacts, companies and deals (read and write), sales emails (read), lists (read).
Set it up
Connect
- 1Sign in to arteemis and open Settings > Integrations.
- 2Under CRM, choose Connect on the HubSpot card.
- 3HubSpot opens: choose the HubSpot account, review the access arteemis asks for, and accept.
- 4You land back on Settings > Integrations. The card reads Connected to, followed by your HubSpot account's name. arteemis reads your customers and open deals right away.
Choose the settings
- 1Choose Settings on the HubSpot card. Each change is saved at once.
- 2Keep customers and open deals out of campaigns is on at first; the sheet says how many addresses and domains are kept out.
- 3Under Deals, pick the Pipeline, then for each arteemis stage the HubSpot stage it becomes. A stage left on Not written writes no deal.
- 4Under Import a list, pick a HubSpot list and choose Import: its contacts arrive in the arteemis list of the same name, up to 20,000 contacts.

Disconnect
- In Settings > Integrations, choose Settings on the HubSpot card, then Disconnect at the bottom, and confirm.
- arteemis gives its HubSpot token back and deletes the connection, its settings, the list of HubSpot records it made and the addresses and domains it kept out. Nothing more is written to HubSpot, and its customers no longer stay out of your campaigns.
- What was already written in HubSpot stays there, and contacts imported from a HubSpot list stay in arteemis.
- If the app is uninstalled in HubSpot instead, the card reads Access revoked and offers Reconnect.
Troubleshooting
- Moving a contact creates no deal
- A move writes a deal once a pipeline is chosen and the arteemis stage is mapped to a HubSpot stage. Check Deals in the settings.
- A contact is missing in HubSpot
- arteemis writes a contact when something happens to them: a message sent, a reply, an accepted invitation, a pipeline move. An email address known to be invalid or bounced is never written.
- A customer is still in a campaign
- Exclusions are read once an hour, by email address and company domain. Check that the switch is on, that the lifecycle stage is Customer, and that the address or the company's domain is filled in HubSpot.
- The card reads Access revoked
- HubSpot refused the token: the app was uninstalled or the user lost access. Choose Reconnect and accept again: writing resumes.
- An import stopped before the end of my list
- An import brings 20,000 contacts at most. Split a larger list in HubSpot.
