Scheduling

Calendly integration

When one of your contacts books a meeting through Calendly, arteemis records it on the contact and moves their deal to the stage you choose. Entering the pipeline ends the contact's sequences, so nobody receives a follow-up after booking.

What it does

What arteemis does with a booking

  • Each invitee is matched to a contact of your workspace by email address, then by an address they wrote from. Nobody is created for an address the workspace does not know.
  • The booking is recorded in the contact's activity, with the meeting's name and time.
  • The contact's deal moves to the chosen stage (the meeting stage at first), never backwards and never past it. A contact not in the pipeline enters it there, which ends their live sequences.
  • A rescheduled meeting counts as a booking. A cancellation is recorded and moves nothing.

What arteemis sets up in Calendly

  • A webhook subscription for invitees created and canceled: for your whole Calendly organization if you are its owner or admin, else for your own bookings.

Calendly's webhooks need a paid Calendly plan (Standard or above) on the account that connects. On a free plan the connection is refused and removed, and arteemis says why.

Requirements

  • The owner or admin role in your arteemis workspace: only they connect integrations.
  • A paid Calendly plan, Standard or above, on the account that connects.
  • To cover the bookings of your whole Calendly organization, the owner or admin role in it; otherwise only your own bookings are heard.
  • The access arteemis asks for: event types, scheduled events, organizations and users (read), webhooks (read and write).

Set it up

Connect

  1. 1Sign in to arteemis and open Settings > Integrations.
  2. 2Under Scheduling, choose Connect on the Calendly card.
  3. 3Calendly opens: sign in and allow the access arteemis asks for.
  4. 4You land back on Settings > Integrations. The card reads Connected to, followed by your Calendly account.

Choose the stage

  1. 1Choose Settings on the Calendly card.
  2. 2Under When a meeting is booked, move the deal to, keep the meeting stage, pick another one, or choose Do not move to only record the booking. The change is saved at once.

Data exchanged

BookingsCalendly to arteemisInvitee email address, meeting name, start time, whether it is a reschedule or a cancellation.

Disconnect

  • In Settings > Integrations, choose Settings on the Calendly card, then Disconnect at the bottom, and confirm.
  • arteemis deletes its webhook subscription in Calendly, revokes its token, and deletes the connection and its settings. Bookings already recorded stay on the contacts.

Troubleshooting

Calendly could not be connected: its webhooks need a paid plan
The account that connects is on Calendly's free plan. Upgrade it to Standard or above, then connect again.
A booking was not recorded
The invitee's email address is not one of your contacts' addresses, or one they wrote from. arteemis creates nobody from a booking.
Bookings of my teammates are not heard
The person who connected is not an owner or admin of your Calendly organization, so only their own bookings are heard. Connect again with an owner or admin account.
A cancellation did not move the deal back
That is by design: nothing in arteemis moves a deal backwards. The cancellation is recorded on the contact.
